Purpose and scope

This Privacy Policy applies to the public website of Solutions Segic inc. and describes, in clear but legally framed terms, how we collect, use, disclose, retain and protect personal information obtained through forms, information requests, communication sign-ups, cookies, embedded content and other digital interactions covered by this policy. It does not replace the contractual terms, supplemental notices, terms of use or agreements applicable to participant portals, administrator portals, applications, secure services or other transactional Segic environments.

Privacy Officer

Solutions Segic inc. has designated a person responsible for the protection of personal information. To ensure secure and centralized handling of requests, the title and contact details of this function are published on the website. Any access request, correction request, withdrawal of consent, complaint or question relating to personal information protection may be sent to this function.

Categories of information collected

Segic asks users not to submit banking, medical, claims-related or other highly sensitive information through the website’s general forms or through any other channel not expressly intended for that purpose. Where a specific form or process made available by Segic requires certain such information for a defined purpose, only the information strictly necessary for that purpose should be provided.

Purposes of collection and use

We use personal information for the following purposes: to respond to your requests, communicate with you, provide information about our services, improve the website, ensure its operation, security and integrity, prevent misuse or unauthorized use, analyze website usage, manage our business relationships, and comply with our legal, regulatory and contractual obligations.

Consent

Where required, Segic obtains valid consent for the collection, use or disclosure of personal information. Depending on the context, such consent may be express or implied where permitted by law. Subject to applicable legal, regulatory or contractual restrictions, an individual may withdraw consent by contacting Segic; however, such withdrawal may limit our ability to provide certain services, features or responses.

Service providers, partners and disclosures

Segic may disclose certain personal information to service providers, technology partners, professional advisors or other third parties where such disclosure is necessary for the purposes described in this policy or is otherwise permitted or required by law. Where Segic entrusts personal information to a supplier, it takes reasonable contractual and organizational measures to govern access, use, confidentiality and security.

Transfers outside Québec

Certain suppliers, tools, components, support services, embedded content, backups or technology services used by Segic may, depending on the circumstances, involve the disclosure, access to or hosting of personal information outside Québec. Where such disclosure is contemplated, Segic intends to apply the assessments and safeguards required by applicable law, taking into account in particular the sensitivity of the information, the purpose of its use, the available protective measures and the legal framework of the relevant jurisdiction.

Retention and security

Personal information is retained only for as long as necessary for the identified purposes, subject to periods required by law and our contractual, regulatory, tax, accounting or evidentiary obligations. Segic implements administrative, technical and physical safeguards appropriate to the sensitivity of the information, including access controls, logging measures, technical protection mechanisms and incident management procedures.

Rights of individuals

Subject to the limits provided by law, an individual may request access to personal information about them, request its correction, withdraw consent where applicable, or submit a complaint regarding its handling. Segic may request additional reasonable information to verify the identity of the requester before responding to a request.

Privacy incidents

Segic assesses any privacy incident in order to determine the measures to be taken, including risk mitigation, record-keeping, notices to affected individuals and, where required, notification to competent authorities. Individuals who believe they have identified an incident or vulnerability affecting their personal information may contact Segic without delay.

As of the date of this policy, Segic’s public website does not use an artificial intelligence system to make decisions about users of the public website. However, artificial intelligence or automated processing functionalities may be deployed in Segic’s participant portals, administrator portals or other secure services. The use of such functionalities, their purposes, the categories of information concerned, applicable limits and the rights of affected individuals are governed by the Terms of Use for participant and administrator portals and, where applicable, by supplemental notices or policies specific to the relevant service.
